Where appropriate, information about students, volunteers and teachers’ health and well-being is collected, as well as contact details for next of kin

How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you, either verbally or as written correspondence, such as our Student Registration form.
The information provided is used for one of the following reasons:

To provide our students with a performing arts education and to give them the best teaching advice

To register a potential student / student for classes, exams or competitions, as well as recording attendance of these events

To fulfil legal responsibilities, for example, for tax purposes

To give and receive information and references about past, current and prospective volunteers and teachers.

To make use of photographic images of students on the Amico website and where appropriate, on social media pages
We also receive personal information indirectly, from the following sources in the following scenarios:

Processing student exam results or other achievements

Where our social media pages allow public comments, instant messages or contact forms, your personal information may be processed by us to respond to you and provide further relevant information about our classes and events.

We do not and never will sell, rent, trade or distribute your personal data to any third parties for marketing purposes. Data may be shared with trusted service providers, such as those providing web hosting, cloud storage and email delivery services.

We may share information with volunteers and teachers working for Amico, but only when required to perform their role within the organisation and ensure the safety of students.

When taking exams, some data may be shared with the relevant awarding body such as Acrobatic Arts, BBOdance and British Theatre Dance Association.

How we store your personal information
Your information is stored securely.

Electronically stored data is held on a secure cloud drive with specific documents containing personal data needing further password verification for access.

We work to reduce the amount of personal data retained on paper files, but where necessary, these documents are stored in a lockable cabinet, with the key held by Rachel Griffin.

The data we hold is reviewed annually. We hold personal data only for as long as it is required for our legitimate and lawful purposes.

We may on occasion need to process special category personal data (concerning health, ethnicity, religion) or criminal records information in accordance with rights or duties imposed on us by law. For example,

Keeping information in our accident book(s) where records need to be kept for 7 years; laws relating to children’s health where we are required to keep records for 7 years beyond their 18th birthday

Processing a Disclosure and Barring Services (DBS) check for those applying for a volunteering or teaching role

We will then dispose your information by deleting electronic data and files. Paper documents will be shredded.

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate.
You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
